Fulfillment - what it is, how it works and how much it costs

Fulfillment is a complete order handling service for online stores. The operator receives goods, stores them, picks products for orders, packs parcels, prepares labels, hands shipments over to couriers and handles returns. Thanks to this, the store does not need to maintain its own warehouse or organise daily packing work.

How fulfillment works

The process usually starts with receiving a delivery from the store or supplier. Products are checked, placed in warehouse locations and added to stock. When an order appears in the sales system, the warehouse receives the task, picks the products, verifies them, packs the parcel and prepares it for shipping.

After courier pickup, the order status can be updated and the customer receives shipment information. Returns are handled in a separate process so they do not block current order fulfilment.

What services are included?

The scope depends on the store and its products, but the most common elements are storage, receiving goods, picking, packing, labelling, shipping preparation, courier handover, returns and reporting. Some stores also need special packing standards, promotional inserts, product labels or separate handling rules for selected items.

The most important thing is that the process is clear, measurable and aligned with the expectations of the final customer.

How much does fulfillment cost?

The cost depends on the number of orders, storage space, number of products in an order, packing materials, shipment preparation and additional services. That is why it is better to calculate the total cost of one handled order rather than look at one line in a price list.

In many stores, fulfillment becomes more cost-effective than an internal warehouse when labour, mistakes, materials, space and seasonal overloads are included in the calculation.

Fulfillment or own warehouse?

An own warehouse can work well when the scale is small and the process is simple. Problems start when the store grows faster than its operational base. More orders mean more space, more materials, more people, more supervision and more risk of mistakes.

Fulfillment is a good option when the store wants to grow without becoming a logistics company. It gives access to warehouse infrastructure and organised processes while the owner keeps control over products, sales and customer communication.

What should be checked before choosing an operator?

  • the way deliveries are received into stock,
  • the order picking and packing process,
  • available integrations with sales channels,
  • return handling rules,
  • reporting and order status visibility,
  • the full cost of storage and order handling.

Fulfillment is not only a warehouse. It is an operating model that can help a store send orders faster, reduce mistakes and focus on growth.
